TeamShift with Square: an AI team for the follow-through on invoices and appointments

Square runs the money side of many service businesses: invoices, appointments, and the customer list behind them. The follow-through is still on you. Someone has to chase the invoice that is two weeks late, confirm tomorrow's appointments, and keep the CRM matching who your customers really are. TeamShift connects to Square from the Connections page in your portal. Once connected, TeamShift workers can read your Square customers, invoices, and appointment details and prepare that follow-through for you. Every message to a customer and every change waits for your approval. TeamShift never takes payments, issues refunds, or moves money in Square, and you can disconnect Square at any time.

Square: the short answers

What does TeamShift do with Square?

TeamShift reads your Square customers, invoices, and appointment details so its workers can act on them. When an invoice is still unpaid, a worker drafts a friendly follow-up to the customer. When an appointment is coming up, a worker drafts the confirmation. Workers also keep your CRM in step with your Square customer list. Every message and every change waits for your approval, and TeamShift never takes payments, issues refunds, or moves money in Square.

How do I connect Square to TeamShift?

In the TeamShift portal, open Connections, choose Square, and sign in to your Square account to approve access. The connection belongs to your workspace, and you can disconnect it from the same page whenever you like.

Can TeamShift take payments or issue refunds in Square?

No. Payments, refunds, payouts, gift cards, saved cards, bank accounts, disputes, and checkout are blocked for TeamShift's workers, even if someone approves the request. TeamShift reads your invoices and drafts reminders; the money itself only moves through Square when you or your customer move it.

Who does what

The jobs your team takes

Operations lead

  • Looks up the details of an upcoming Square appointment and drafts the confirmation for your OK.

Customer success worker

  • Drafts a thank-you or check-in note after a finished job, using the customer's Square history, for your OK.

Sales worker

  • Keeps the CRM in step with Square: matches customers, flags new or changed contact details, and updates records once you approve.

Finance worker

  • Checks your Square invoices for ones that are overdue or still unpaid and lists them in your morning brief.
  • Drafts a friendly reminder to each customer with an unpaid invoice, sent only after you approve the wording.

Stays with you

What never runs without you

  • Every payment, refund, and payout, which TeamShift cannot touch
  • Approving every message sent to a customer
  • Approving any change to customers, invoices, or appointments in Square
  • Disconnecting Square whenever you choose

Anything that sends, pays, publishes, or deletes waits for your OK, and every step is recorded. How approval works.

FAQ

Questions owners ask

Do I need to change my Square setup?

No. Keep your invoices, appointments, and customer list as they are. TeamShift works from what is already in Square.

Can TeamShift see my Square password or card details?

No. You approve access on Square's own sign-in screen, and TeamShift keeps a reference to that connection, not your password. Square actions that touch saved cards, bank accounts, tokens, or webhooks are blocked.

How do I stop TeamShift from using Square?

Open Connections in the portal and disconnect Square. Once it is disconnected, workers can no longer read your customers, invoices, or appointments.

What does it cost?

Each job is billed by usage at 3x compute cost, quoted with a maximum before it starts. The workspace is free.
