Revenue Desk for HVAC
The Revenue Desk for HVAC companies
Direct answer
The Revenue Desk is one TeamShift team that does the office side of an HVAC company's sales. We answer or text back the calls you miss, follow up every open quote until you get a yes or a no, and confirm and remind your booked visits. Once a month you get one report on what we did and what it did for you, measured from your own records. It starts at $699 a month, plus setup. Your price is set in writing before any work or charge.
Why HVAC shops lose jobs at the office, not on the roof
In heating and cooling, the busy days are the days you miss the most calls. The first hot week or the first cold night fills the phone while every tech is out. A caller who gets voicemail on a no-cool day may call the next company on the list.
Quotes leak too. A system replacement quote is a big choice for a homeowner. They want to think, ask a spouse, or get a second price. If nobody follows up, the job can go to whoever did.
Booked visits slip as well. A tune-up booked three weeks out is easy to forget. A no-show costs you a truck and a tech for that slot.
Most shops hand all of this to whoever is free. That is often the owner, at night.
Your techs are hard to replace
Pulling a tech off a job to call people back is costly. The Bureau of Labor Statistics puts the median pay for HVAC mechanics and installers at about $61,000 a year (May 2025). It also expects about 40,000 openings for them each year. Every hour a tech spends on the phone is an hour of that pay not spent on a job.
What the desk does for an HVAC company
- Missed calls. When you can't pick up, we answer or text the caller back, ask your questions, and book the visit or a callback under your rules. We are not an emergency dispatch service, so keep your on-call number for no-heat and gas calls.
- Open quotes. You send us the quotes you gave out. We follow up each one on a set schedule over about three weeks, until the customer says yes or no. We do not write or change your prices.
- Booked visits. We confirm each visit and send a reminder. If someone misses, we text them your booking link so they can pick a new time.
- Website questions. A chat box on your site answers questions from your own pages.
- One report. Each month: what we did, what each fix did from your own records (or a note when we can't measure it), and the next fixes we suggest. Each fix has a price, and nothing new starts until you say yes.
What stays with you
Texts from our line go only to people who agreed to get them, and never between 8pm and 8am. We never change a price, promise a discount or move money. You approve every new fix before we start it.
What we need from you
- Call forwarding from your business number when you do not answer, or a new line.
- Your greeting, the questions to ask, your booking rules and who gets told about each call.
- A list of your open quotes: the customer, how to reach them, the job, the price and the date you sent it.
- Which customers agreed in writing to get texts from you.
- Where your bookings live, such as your calendar or booking app.
- Your site address and your help pages, so the chat box answers from them.
How to start
Answer four questions in the fit check to see if this desk fits your shop, or if a smaller first step makes more sense. Then send the desk request form. We set your volume and price in writing on a short call. The missed-call line goes live within 2 business days after we get your forwarding details.
Example month for one HVAC shop
These numbers are an example to show the scale, not a real client. Your own volumes set your price.
| Work | Example month | Desk covers up to |
|---|---|---|
| Missed calls and texts answered or texted back | 120 | 200 |
| Open replacement and repair quotes followed up | 40 | 100 |
| Tune-up and repair visits confirmed and reminded | 100 | 150 |

FAQ
Is this an answering service?
It covers the calls you miss, but it does more. It also chases your open quotes and confirms your visits, and it reports on all three in one place.
What if I get more calls than the desk covers?
The price covers the volumes on the desk card. More lines, more locations or more volume are priced before you buy, never after.
Can I cancel?
Yes. Desks are billed monthly. Cancel any time by text or email, and service stops at the end of the paid month.
Do I still need my own office staff?
Most shops keep their office staff. The desk covers the calls they miss and the quote and visit follow-up they don't get to, which matters most in the summer and winter rush.
Do you handle emergency calls?
No. The desk is not an emergency dispatch service. Keep your own on-call number for no-heat, no-cool and gas calls.
