Harrisburg professional offices
A website chat box for Harrisburg law, accounting, and dental offices
Direct answer
The Site Chat Desk puts a chat box on your website. It answers visitor questions from your own help pages, FAQ, and policies, day and night. When it is not sure, it says so and sends the question to you. It costs $300 to set up and $99 a month. It never makes up prices or promises, and it does not take phone calls or texts.
Why offices near the capital get these questions
Dauphin County has many offices where people compare a few names before they call. The Census Bureau's County Business Patterns for 2022 counted 167 legal offices, 193 physician offices, 94 dental offices, and 91 accounting offices in the county. It also counted 706 professional, scientific, and technical businesses and 382 finance and insurance businesses.
Visitors ask the same things again and again. What do you handle? Are you taking new clients? What are your hours? Where do I park? The answers are often on your site already, but nobody reads five pages at 9 p.m.
What the chat box does
- It answers only from your help pages, FAQ, policies, and past answers you approve.
- When your pages do not say, it tells the visitor it is not sure and sends you the question.
- Each week you get a report of the questions it could not answer, grouped and counted, with a suggested answer for you to approve.
- The answers you approve are added, so the same question is answered next time.
What your pages need to say
The chat box is only as good as the pages behind it. Before launch, check that your site says these things in plain words:
- Which kinds of cases, returns, or patients you take, and which you do not.
- Whether you are taking new clients right now.
- Office hours, address, parking, and how to reach a person.
- Fees you already publish, such as a consultation fee. If you do not publish a fee, the chat box will not name one.
- How to book, and what to bring to a first visit.
Gaps show up fast. Each unanswered question in the weekly report points to a line your site is missing. Add the line, approve the suggested answer, and the next visitor gets a reply right away, even on a weekend or after the office closes.
Rules we follow
It never makes up prices, refunds, or promises. If your pages do not say it, the question comes to you. It does not offer account logins for your customers.
We suggest telling visitors not to type private case or health details into any website box. For law firms, the ABA's Model Rule 1.18 treats someone who consults a firm as a prospective client, and it limits how the firm may use what they share. Point visitors to your phone line or secure form for that. A professional office keeps its own rules about what it can collect, and we do not change them.
A week with the chat box
On Monday you open one short report. It lists, say, the five questions visitors asked that your pages could not answer, with the count for each. You approve the answers that are right and skip the rest. By the next report, the approved ones are handled without you.
Setup
You give us your site address, a way to add one line of code, your help pages, your policies, and an email for questions it cannot answer. The chat box is live within 3 business days after we get your pages and the code is added. If it is not live in time, we refund the setup fee and still set it up.
Chat is not the phone
A visitor who wants to talk will call. If no one answers, that is a lost client. Law firms see this clearly. Open the law firm missed-call calculator. Its starting numbers are editable guesses: 80 calls a month, 25% missed, 15% become clients, and a $3,000 average fee. They give $9,000 a month at risk. Use your own numbers. Pair the chat box with the Missed-Call Front Desk for the phone side.
Where we are
TeamShift is based in Lititz and works online, so we do not need an office visit. We have no Harrisburg office and no Harrisburg customers to name yet. Another page covers a York County cash forecast.
FAQ
Does the chat box give advice? It answers only from the pages you give it. When your pages do not cover a question, it says it is not sure and hands the question to you.
Can it book appointments? It answers questions from your pages. Prices and promises stay with you.
Does it work on any website? It works on a site where we can add one line of code, or where you give us a login for that one change.
How will I know what visitors asked? Every week you get a report of the questions it could not answer, grouped and counted. Each comes with a suggested answer that you can approve, change, or reject.
Is this only for law, accounting, and dental offices? No. Any office with help pages can use it. We wrote this page for the Harrisburg area because the county has many such offices.
What happens when it does not know? It says it is not sure and sends the question to the email you chose.
What does it cost? $300 setup and $99 a month for hosting and weekly tuning. The offer page lists the pay-now and prepay choices.
