HVAC dispatch software: how the main tools compare and what they cost

Most tools sold as HVAC dispatch software are full field service management (FSM) systems. Dispatch is one part. The core features to look for:
- Dispatch board. A drag-and-drop view of every tech's day, with unassigned jobs waiting.
- GPS and routing. Where each tech is and the fastest order to run the day's calls.
- Mobile app for techs. Job details, customer history, photos, checklists, and payment collection in the field.
- Customer and equipment history. What system is in the house, when it was installed, and what was done last time.
- Maintenance agreements. Tracking members, scheduling recurring tune-ups, and applying member pricing.
- Estimates, invoices, and payments, with QuickBooks sync in most tools.
- Pricebook. Flat-rate pricing your techs can present on site.

ServiceTitan
ServiceTitan is the tool many larger HVAC companies grow into. Dispatching and scheduling are in every plan (Starter, Essentials, and The Works), and pricing is per technician on request. It's the better choice when you have multiple departments, call center staff, and a dedicated office manager to run the system. For a two-truck shop, it's often more system than the business needs.
FieldEdge
FieldEdge has long focused on HVAC and plumbing. Its Select plan has basic dispatching, and Premier and Elite add advanced dispatching. Elite is aimed at large multi-truck companies. It doesn't offer a free trial, so plan on a demo.
Housecall Pro
Housecall Pro publishes its prices and is quick to set up. Every plan lets you schedule and assign techs. Employee GPS tracking starts on Essentials, and route optimization and vehicle GPS come with Max. A good fit for shops with one to eight people in the field that want to be running within a week.
Jobber
Jobber is the cheapest entry point with published pricing, and its pricing page shows scheduling, GPS tracking, route optimization, and drag-and-drop on all plans. It's built for small crews across many trades, so HVAC-specific depth like equipment tracking and complex agreements is lighter than in FieldEdge or ServiceTitan. Its AI Receptionist is a separate add-on.
Service Fusion
Service Fusion's plans include unlimited users, which matters if you have several office staff or a growing crew. All plans include scheduling and dispatching, with no contract requirement. GPS fleet tracking costs extra.
Workiz
Workiz doesn't publish prices. Its Ultimate plan targets multi-location teams and franchises, and it offers a 7-day trial.
How to choose
- Count trucks, not users. Pricing models differ. Per-tech, per-user, and unlimited-user plans give very different totals at 3 trucks than at 15.
- List what the office does every day. If most of the day is maintenance agreement scheduling, weight agreement features heavily.
- Check QuickBooks sync. Ask how invoices, payments, and customers flow to QuickBooks, and what happens when they don't match.
- Ask about setup. Migrating customers, equipment, and pricebook data takes real time. Ask who does it and what it costs.
- Test the tech app. Have your least tech-comfortable tech try it during the trial.
- Read the contract. Some quote-based tools require annual terms. Housecall Pro, Jobber, and Service Fusion publish month-to-month options.
