24/7 answering service: what full coverage takes and what it costs
Direct answer
A 24/7 answering service answers your business line every hour of every day, including nights, weekends, and holidays. Doing that in-house takes about 4.2 full-time people to keep one seat filled, which comes to roughly $160,000 a year in wages at the median receptionist pay rate before benefits. Outsourced services spread that cost across many clients. As of October 2026, plans start around $99 to $300 a month at PATLive, Ruby, and Smith.ai, and PATLive and Ruby say they don't charge extra for nights or holidays. AI voice agents cover all hours for less, with limits on emotional and complex calls.
What "24/7" should actually cover
Before comparing services, decide what round-the-clock coverage has to mean for your business. The phrase gets used loosely.
- Every hour, including holidays. Check whether the plan covers Thanksgiving and Christmas at the same rate. PATLive says it handles calls 24 hours a day, 365 days a year, for the listed package price. Ruby says it charges no extra fees for coverage during certain periods.
- Every call, or only some? Some businesses send every call to the service. Others send only overflow (calls you don't pick up in a few rings) and after-hours calls.
- Answering vs resolving. A service that answers at 2 a.m. and takes a message is different from one that reaches your on-call tech. Decide which calls need a person awake right now.
- Several calls at once. A storm, an outage, or a promotion can bring ten calls in the same minute. Ask how the service handles spikes.
The staffing math for doing it yourself
A year has 8,760 hours (24 times 365). One full-time employee works about 2,080 paid hours a year, the same full-time year the BLS uses for its annual wage figures. That's before vacation, sick days, and training.
| Line | Figure | How we got it |
|---|---|---|
| Hours to cover per year | 8,760 | 24 hours x 365 days |
| Paid hours per full-time worker | 2,080 | 40 hours x 52 weeks |
| Full-time workers to fill one seat | about 4.2 | 8,760 / 2,080 |
| Median receptionist wage | $18.27 an hour | BLS OEWS, May 2025 |
| Wages to cover one seat for a year | about $160,000 | 8,760 x $18.27 |
| With benefits and payroll taxes (about 31%) | about $209,700 | Same load used in our receptionist salary guide |
That figure covers a single seat with nobody on vacation and nobody calling in sick. It also assumes you can hire people willing to work overnight at the median rate, which is often not the case. Overnight shifts may need a pay premium, and covering one seat with no gaps can mean scheduling a fifth person or paying overtime.
For most small businesses, an in-house 24/7 desk doesn't make sense unless the calls themselves are the business, like a dispatch center or a large property manager. Everyone else outsources nights or uses software.
What outsourced 24/7 services cost (as of October 2026)
These come from each vendor's pricing page:
| Service | Billing | Entry plan | Bigger plan |
|---|---|---|---|
| PATLive | Per minute | $99/mo for 50 minutes, $2.29 per extra minute | $1,499/mo for 1,000 minutes, $1.69 per extra minute |
| Ruby | Per minute | $250/mo for 50 minutes | $1,725/mo for 500 minutes |
| Abby Connect | Per minute | $165/mo for 50 minutes | $1,380/mo for 500 minutes |
| Smith.ai | Per call | $300/mo for 30 calls, $11.50 per extra call | $2,100/mo for 300 calls, $8.50 per extra call |
All four advertise 24/7 coverage on these plans. Your monthly bill depends on volume, not on what time of day the calls come in. PATLive notes its prices exclude taxes and fees, and Smith.ai doesn't charge for spam calls when your forwarded line passes Caller ID. AI voice agents for round-the-clock coverage
AI receptionists answer at any hour for the same price, answer several calls at once, and don't need shift schedules. Smith.ai's AI receptionist has a free tier of 25 calls a month and paid tiers at $150 and $500. Standalone products like Rosie ($49 a month for 250 minutes) and Upfirst ($24.95 a month for 30 calls) start lower.
The trade-offs are real. An AI follows your rules and doesn't improvise well. Callers who are upset, confused, or describing something unusual are better off with a person. Some callers refuse to talk to software and should get a voicemail or callback option. A common setup is AI for routine calls at all hours and a person for emergencies and important callers.
How TeamShift fits a 24/7 setup
TeamShift's Support worker can answer your business line with an AI voice agent day, night, and weekends. You forward your number or use one TeamShift sets up, and TeamShift's team sets it up for your business. It says it's an AI assistant at the start of every call.
It answers callers from the business brief you write (hours, services, service area, policies). When a question isn't covered, it says so and offers a callback instead of guessing. It takes messages and job details. Booking or moving an appointment, a quote, a refund, a payment, or an order change is never done on the call. Each becomes a request for you to approve, and the caller hears that someone will confirm. Missed and after-hours calls go to voicemail with a text alert to you, and each call has a record (outcome and notes) in TeamShift.
Two limits matter for 24/7 planning. TeamShift doesn't transfer live calls to a person, and it answers in one language. If you need a human on the line for night emergencies, keep a human service or on-call phone for those. Pricing is usage-based at 3x compute cost, with a free workspace and a maximum quoted before work starts. There's no per-minute plan. See pricing and how an AI front desk compares with hiring.
Questions to ask any 24/7 provider
- Is the rate the same on nights, weekends, and holidays?
- How are minutes or calls counted, and are spam calls billed?
- How many of my calls can you take at the same moment?
- Who decides a call is an emergency, and how do you reach my on-call person?
- What happens when a caller asks something not in my script?
- Can I read a transcript or hear a recording of every call?
- What's the contract term and cancellation notice?
FAQ
What is a 24/7 answering service?
It's a service that answers your business phone at every hour, including nights, weekends, and holidays. It takes messages, answers common questions, and reaches your on-call person for emergencies. It can be staffed by people, run by AI, or a mix.
How much does a 24/7 answering service cost?
As of October 2026, entry plans are $99 a month for 50 minutes at PATLive, $250 for 50 minutes at Ruby, and $300 for 30 calls at Smith.ai. PATLive and Ruby say they don't charge more for night or holiday coverage. Your bill rises with call volume.
How many employees does 24/7 phone coverage take?
About 4.2 full-time employees to keep one seat filled, since a year has 8,760 hours and one full-time worker is paid for about 2,080. Vacation, sick days, and overnight turnover push the real number higher.
Is an AI answering service really 24/7?
Yes. Software doesn't need shifts, and most AI receptionists can take several calls at once. The limit is judgment: it should offer a callback on anything outside its brief, and callers who won't talk to AI need another path.
Does TeamShift answer calls 24/7?
TeamShift can answer your line day, night, and weekends with an AI voice agent that says it's AI. It takes messages and requests, and changes like appointments are confirmed after your OK. It doesn't transfer live calls to a person.
