What missed calls and slow replies cost small businesses, by industry (2026)

Direct answer

About half of calls to home-services businesses do not reach a person. Invoca's 2026 home-services benchmark (drawn from a 70-million-call, 10-industry dataset) found that 52% of callers to home-services businesses speak with a person, and earlier Invoca platform data put the share of unanswered calls at 27%. The two figures measure different things: the 2026 figure counts callers who spoke with a person, while the 2024 figure counts calls that were not answered at all. Owners are looking for help: in a typical month between September 2025 and August 2026, there were about 5,600 US Google searches for answering services, virtual receptionists, and AI receptionists named for one of 12 small-business industries. Law firms led with about 1,530 searches a month, and advertisers on those searches paid an average of about $405 per click, the highest of any industry measured.

These are search events and historical average costs per click, not unique businesses or measured losses. The method, limits, and sources are below.

Key findings

  • Half of callers do not reach a person. In Invoca's 2026 home-services benchmark (drawn from a 70-million-call, 10-industry dataset), 52% of callers to home-services businesses spoke with a person, with a range of 32% to 74% across sub-industries.
  • Law firms search the most and cost the most to reach. Law-firm keywords averaged about $405 per click, volume-weighted, on about 1,530 searches in a typical month. The single highest, "lawyers answering service" at about $782, is a low-volume keyword (median about 90 searches a month).
  • Owners still search for answering services, not AI. About 78% of typical-month searches (about 4,330) asked for an answering service. AI receptionist searches were about 11% (about 600).
  • Dental is the exception. Dentists were the only industry with more than 500 typical-month searches where AI receptionist searches (about 270) outnumbered answering-service searches (about 245).
  • Answering-service clicks cost about three times AI-receptionist clicks. Answering-service keywords averaged about $236 per click; AI receptionist keywords about $82. By industry the gap ranges from about 1.2 times (veterinarians) to about 6.5 times (law firms), and answering service costs more in every industry with both.

Searches and cost per click by industry

Each row sums the median month for every keyword cluster named for that industry, US Google searches, September 2025 to August 2026. Cost per click is Google Ads' historical average cost per click, weighted by search volume across the clusters that had one. Figures are rounded.

Industry Typical month (US searches) Average cost per click (USD) Highest-cost keyword
Law firms 1,530 about $405 "lawyers answering service", about $782
HVAC 1,145 about $150 "answering service for hvac", about $533
Property management 895 about $139 "property management answering service", about $140
Plumbers 620 about $115 "plumbers answering service", about $120
Dentists 590 about $165 "dental virtual receptionist", about $231
Automotive 210 about $64 "automotive answering service", about $66
Real estate 190 about $137 "real estate answering service", about $146
Salons 130 about $51 "ai receptionist for hair salon", about $106
Veterinarians 100 about $92 "answering service for veterinarians", about $140
Electricians 80 about $36 "electricians answering service", about $39
Roofers 75 about $95 "roofing answering service", about $95
Med spas too few to measure not reported none
All 12 industries about 5,600 about $216

Some highest-cost keywords have very small volume. "answering service for hvac" averaged about 20 searches a month, and "lawyers answering service" had a median of about 90 a month with an average cost per click above Google's high top-of-page bid range for it. Treat those single-keyword figures as less stable than the industry averages.

What cost per click tells you

The people searching these keywords are business owners looking for call coverage. The advertisers on them are answering-service and receptionist vendors. The historical average cost per click is therefore what those vendors have paid for one owner's visit, a rough signal of how much a new customer in that industry is worth to them. It is not a measure of what a missed call costs the business itself.

Read that way, the table ranks industries by how much vendors pay to reach them. Vendors paid about $405 on average for a click from a law-firm search and about $36 for one from an electrician search.

Answering service, virtual receptionist, or AI receptionist

What the search asked for Typical month (US searches) Share Average cost per click (USD)
Answering service 4,330 about 78% about $236
AI receptionist or AI answering service 600 about 11% about $82
Virtual receptionist 425 about 8% about $224
After-hours answering service 210 about 4% about $20 (one keyword with a cost per click)

Most owners still name the older service. Dental was the exception among industries with more than 500 searches a month: "dental ai receptionist" alone drew about 190 searches in a typical month, more than any dental answering-service keyword. The gap in cost per click suggests vendors still pay far more for owners who ask for an answering service than for those who ask for AI.

What a missed call costs: the benchmarks

Search data shows demand. The cost of a missed call comes from call-tracking and survey research.

  • Answer rates. 52% of callers to home-services businesses speak with a person; 65% for calls longer than 15 seconds and 73% for calls longer than 30 seconds. Across sub-industries the rate ranged from 32% to 74%. See the Invoca Home Services Lead Conversion Benchmarks Report 2026, Invoca's 2026 home-services benchmark (drawn from a 70-million-call, 10-industry dataset).
  • Unanswered calls. 27% of calls to home-services businesses are not answered, based on Invoca platform data. See How much do missed sales calls cost home services businesses? (Invoca, May 2024).
  • How many calls are sales. 38% of calls from digital marketing are leads, and 45% of those leads convert on the call. 55% of home-services businesses do not ask the lead to book the job (Invoca, 2026).
  • How many callers are new. An average of 56% of callers across industries in 2022 were first-time callers, from an analysis of about 62 million calls to Ruby's clients between 2018 and 2023. See the Ruby 2023 Call Trends Report announcement.
  • Slow replies. An audit of 2,241 US companies' responses to a web-generated test lead found that 23% never responded, and the average response time among companies that responded within 30 days was 42 hours. A separate study of 1.25 million sales leads received by 42 US companies found that firms that tried to contact a lead within an hour were nearly seven times as likely to qualify it (have a meaningful conversation with a key decision maker) as firms that tried even an hour later, and more than 60 times as likely as firms that waited 24 hours or longer. Both are reported in The Short Life of Online Sales Leads (Harvard Business Review, March 2011).
  • The cost of answering in house. The median hourly wage for receptionists was $18.27 in May 2025, or $38,010 a year. See the BLS Occupational Outlook Handbook.

A worked example: 100 calls to an HVAC company

This is arithmetic on the benchmarks above, not a measurement. It assumes callers who do not reach a person would have behaved like those who did.

  • Of 100 calls, about 48 do not reach a person (100% minus 52%).
  • At a 38% lead rate and a 45% on-call conversion rate, those 48 calls would have produced about 8 booked jobs (48 × 0.38 × 0.45 ≈ 8.2).
  • At HomeAdvisor's $350 average HVAC repair, that is about $2,900 in repair work per 100 calls. See HomeAdvisor's HVAC repair cost guide, updated June 2026.

A replacement job is worth far more than a repair, and some unreached callers call back or leave a message, so the real figure for a given business can be much higher or lower.

Methodology

  • Source. US Google search volumes and cost-per-click estimates from Google Ads keyword data, retrieved through DataForSEO.
  • Period. Twelve months, September 2025 to August 2026. Data collected on 2026-10-02.
  • Keyword set. 624 keywords were screened across 12 industries, built from the words owners use for their business (for example "plumbers", "plumbing", "plumber") combined with four kinds of request: answering service, after-hours answering service, virtual receptionist, and AI receptionist or AI answering service. 117 keywords had measurable volume.
  • Clusters. Google Ads reports close variants with identical monthly histories. Within each industry, keywords with identical histories were counted once, leaving 82 keyword clusters.
  • Typical month. For each cluster we took the median month across the twelve months, then summed those medians by industry. The median keeps one spike month, such as September 2025, from inflating the typical figure.
  • Cost per click. Google Ads' historical average cost per click in US dollars, weighted by each cluster's average monthly searches. Clusters without a cost-per-click figure are excluded from the average.
  • Units. Volumes are search events, not unique businesses. One owner can search many times.
  • Limits. Keyword tools estimate and round volumes, and low-volume terms are less precise. Med spa keywords returned too little volume to report. Industry totals are rounded and may not add exactly to the overall total. The missed-call benchmarks come from call-tracking vendors' platform data and one academic audit; they are not drawn from the search data.

FAQ

What share of calls to small businesses go unanswered? In Invoca's 2026 home-services benchmark (drawn from a 70-million-call, 10-industry dataset), 52% of callers to home-services businesses spoke with a person, with a range of 32% to 74% across sub-industries. Earlier Invoca platform data found that 27% of calls to home-services businesses were not answered; the two figures measure different things.

Which industry searches most for an answering service? Law firms. Law-firm answering-service searches were about 1,250 a month in a typical month between September 2025 and August 2026, ahead of HVAC and property management at about 870 each.

How much do answering service vendors pay per click? Across the 12 industries, the historical average was about $216 per click. Law-firm keywords averaged about $405 and electrician keywords about $36.

Do small businesses search for AI receptionists or answering services? Mostly answering services. About 78% of typical-month searches asked for an answering service and about 11% for an AI receptionist. Among industries with more than 500 searches a month, dentists were the exception, with more AI receptionist searches than answering-service searches.

How much does a missed call cost? It depends on the job. As an illustration, at Invoca's 2026 answer, lead, and conversion rates and a $350 average HVAC repair, the calls that miss a person cost about $2,900 in repair work per 100 calls. This assumes unreached callers would have behaved like those who got through.

Where does this data come from? Search volumes and cost per click come from US Google Ads keyword data retrieved through DataForSEO, covering September 2025 to August 2026 and collected on 2026-10-02. Missed-call benchmarks come from Invoca, Ruby, Harvard Business Review, HomeAdvisor, and the US Bureau of Labor Statistics, linked above.
