Answering service for small business: options, prices, and what to keep for yourself
Direct answer
An answering service for small business picks up the calls you can't, takes a usable message, and tells you what needs you today. Human services run from about $44 a month plus per-minute fees to several hundred dollars for a block of calls. AI voice agents start around $25 a month for low volume. Pick based on your call count and how often a caller needs a live person right away. Pricing disputes, unhappy customers, and anything that commits your money or calendar should still come back to you.
Why small businesses need this more than big ones
The SBA Office of Advocacy counts 36,207,130 small businesses in the US, and 82.3% of them have no employees. In most of those businesses, the owner is the receptionist. Every call that comes in during a job, a meeting, or dinner either interrupts the work or goes to voicemail.
A larger company has a front desk. A small one needs something that covers the gaps: after hours, during jobs, at lunch, and on the days when three calls come in at once.
The calls a small business actually gets
Sort a week of calls into these groups before you buy anything. The mix decides which service fits.
| Call type | Examples | Usually needs |
|---|---|---|
| New customer inquiries | "Do you do X?", "How much for Y?", "Are you open Saturday?" | Fast, accurate answers and a callback for anything priced |
| Existing customers | Order or job status, reschedule, a question about a bill | The customer's name, what they need, and a promise of a reply |
| Complaints | Something went wrong | You, soon |
| Vendors and partners | Deliveries, suppliers, your accountant | A message |
| Sales pitches and spam | SEO offers, "your business listing" calls | Screened out |
Look for repeats. Hours, location, service area, whether you do a specific job, and roughly what it costs tend to come up again and again. That's the part any decent service can take off your plate.
Urgent now or fine for later?
Write three buckets and give them to whoever answers your phone:
- Call me now. A safety issue, a customer who is upset and escalating, a large order at risk, anything time-boxed that day.
- Today. New leads, reschedules, billing questions. Speed matters, but an hour won't lose the customer.
- This week. Vendors, general questions, sales calls you might want to hear.
Without these buckets, a service either interrupts you for everything or for nothing.
What to capture on every call
- Caller's name and best callback number
- New or existing customer
- What they want, in their words
- How urgent it is to them, and any deadline
- For new customers: how they heard about you, and the address or location if you serve an area
- Whether a text or email reply works for them
Keep the list short. Callers hang up on long scripts.
Rules that apply to small business phone handling
- AI voices and outbound calls. In February 2024 the FCC confirmed that AI-generated voices count as "artificial or prerecorded voice" under the Telephone Consumer Protection Act, so outbound calls using them generally need the called party's prior express consent (FCC 24-17). If a service offers AI callbacks or outbound campaigns, ask how it handles consent. Answering calls people place to you is a different situation from calling them.
- Recording. Most services record or transcribe calls. Some states require every party's consent to record, so tell callers at the start and check your state's law.
- Telling callers it's AI. It's good practice to say so up front, and some callers will want a person. Give them a way to leave a message.

A quick cost check at 100 calls a month
Say you get 100 calls a month averaging 3 minutes, so about 300 minutes. Using the published rates above:
- Smith.ai's 90-call human plan: $810 plus 10 extra calls at $10.50, about $915
- Specialty Answering Service's 220-minute plan: $269 plus 80 minutes at $1.44, about $384
- Upfirst's 90-call AI plan ($59.95) plus 10 extra calls at $1, about $70
That spread is why call volume is the first number to get. Our answering service cost guide goes deeper on the math.
Who each option suits
Live services are the better choice when callers often need a warm transfer to you, when calls are emotional, or when your customers expect a person. Ruby and PATLive also list bilingual answering. AI agents are better when calls are frequent, short, and repetitive, and when the budget is tight. A hybrid, AI for the routine calls and a person for escalations, is where many small businesses land. See AI receptionist for small business for the AI side.
How TeamShift answers the phone
TeamShift can answer your business line with an AI voice agent, day, night, and weekends. You forward your number or use one TeamShift sets up, and TeamShift's team does the setup with you. The agent says it's an AI assistant at the start of every call.
It answers from a business brief you write (hours, services, service area, policies). It doesn't look up records in your tools for callers. When something isn't in the brief, it tells the caller it doesn't have that answer and offers a callback instead of guessing.
It takes messages and details. Anything that would change something, like booking or moving an appointment, a quote, a refund, a payment, or an order change, isn't done on the call. It comes to you as a request to approve, and the caller hears that someone will confirm. Missed calls and callers who'd rather not talk to AI go to voicemail, and you get a text alert. Callers who call back reach the same agent, and each call has a record (outcome and notes) in TeamShift.
You can call in yourself, verify with a code texted to your phone, and ask what happened today. The phone sits alongside the rest of the team: the Support worker sorts Gmail or Outlook and drafts replies and missed-call text-backs for your OK, and Sales drafts follow-ups on the leads those calls produce. Pricing is usage-based at 3x compute cost, with a maximum quoted before work starts and no per-minute plan (see pricing).
What TeamShift doesn't do on the phone: transfer live calls, answer in multiple languages, place outbound cold calls, or book directly into your calendar mid-call. If you need any of those, a live service from the table is the better fit.
What stays with you
- Prices, discounts, and anything that commits money
- Complaints that are escalating
- Sales conversations that need negotiation
- Judgment calls about which customers to take on
- Callers who need a person and won't wait
An answering service is there to make sure no call is wasted. It shouldn't be making decisions that belong to the owner.
FAQ
How much does an answering service for a small business cost?
As of October 2026, published plans start at $44 a month plus $1.54 a minute (Specialty Answering Service) and $250 a month for 50 minutes (Ruby) for live answering. AI services start at $24.95 a month for 30 calls (Upfirst).
Is an AI answering service good enough for a small business?
For routine calls about hours, services, and messages, often yes. For upset callers, complex questions, or sales negotiation, a person still does better, so most owners keep a path to a human.
Should I tell callers they're talking to AI?
Yes. TeamShift's agent says so at the start of every call. Callers who'd rather not continue can leave a voicemail.
Can an answering service book appointments?
Some live and AI services, such as Smith.ai and Rosie's Scale plan, book directly into a calendar. TeamShift takes the request on the call and confirms the appointment after you approve it.
How do I choose between a human and an AI service?
Count your monthly calls and minutes, note how many truly need a live person, and price both from the published plans. If most calls are short and repetitive, AI usually costs less. If many need a warm transfer, go human or hybrid.
