AI email assistant: a practical guide for business owners

Some will archive, label, or follow up on their own once you set rules. For a small business, the useful question isn't whether one can write a decent email (they all can now). What an AI email assistant is
Think of three layers. The bottom layer is writing help: turn a few words into a full message, fix the tone, shorten it. The middle layer is inbox help: labels, priority sorting, thread summaries, follow-up reminders. What it can realistically do today
- Summarize. Collapse a 30-message thread into a few lines, or pull a flight time or order number out of a buried email.
- Draft replies. Write a first draft that matches your usual tone, which you edit and send.
- Sort and label. Separate customers from vendors, newsletters, and cold pitches, and surface what needs you today.
- Remind you. Flag threads where you're waiting on someone, or where someone has been waiting on you too long.
- Help schedule. Suggest meeting times from your calendar inside a reply.
- Answer routine questions. Hours, service area, "did you get my form?" These are the easiest drafts to approve as written.
What it can't do well (yet)
- Know facts it can't see. If the answer lives in QuickBooks, your CRM, or your head, a mail-only assistant will write a polite reply that doesn't answer the question, or worse, guess.
- Make policy calls. Refunds, exceptions, discounts, and anything you'd hesitate over yourself. It can line up the facts. You decide.
- Handle a tense customer. It can draft a calm reply, but you should read it before it goes.
- Catch its own confident mistakes. A wrong date or price in a well-written email is still wrong. That's why review before sending matters more than writing quality.
- Replace a team process. If three people work one inbox and nobody knows who owns what, an assistant in one person's mailbox won't fix that.
How to evaluate an AI email assistant
Run this checklist against any tool you're considering:
- Draft or send? Find out exactly what it does without you. Archiving newsletters on its own is fine for most people. Emailing a customer on its own usually isn't.
- Which mail system? Confirm it works with the one you use (Gmail, Google Workspace, Outlook, Microsoft 365) and on the devices you read mail on.
- What else can it read? Calendar only, or also your CRM, accounting, and job records? This decides whether drafts can contain real answers.
- Does it learn from your edits? You want fewer changes in week four than in week one.
- Where does your data go? Read the privacy page for whether your mail is used to train models and how long it's kept.
- How is it priced? Per seat, per mailbox, or by usage. Work out the cost for your actual team, not the headline price.
- Can you see what it did? A log of what it sorted, drafted, archived, or sent, so you can check its work.
The main kinds of AI email assistant
AI built into Gmail and Outlook
If you already pay for Google Workspace or Microsoft 365, start here. Gemini in Gmail can summarize threads, draft and refine emails, help organize and search your mail, and suggest meeting times from your calendar. Copilot in Outlook drafts messages from a prompt, adjusts tone and length, summarizes threads, and offers coaching on emails you've written. Availability depends on your plan and admin settings.
These are the better choice if your main problem is writing speed and you live in one mail app. They mostly help the person typing. They don't know your job list or invoices unless that information is already in your mail or files.
Standalone inbox assistants
These sit on top of your existing mailbox and focus on triage and drafts:
