Automation for recruiters who are tired of doing admin between placements

A small recruiting or staffing agency lives in its inbox and calendar. Each placement takes a dozen emails to line up interviews, chase a reference, collect a W-9 or a certification, and update the client. Once the contractor starts, someone has to chase the weekly timesheet so payroll and billing can run. TeamShift gives your agency a team of AI workers that takes that coordination off your recruiters. You hand off work in a sentence, the team works in your Gmail or Outlook, calendar, and CRM, and anything that goes to a candidate or client waits for your OK.

Recruiting firms: the short answers

What can automation do for recruiters?

Automation for recruiters works best on the coordination around a placement. The judgment in it stays with your people. An AI team can propose times for screens and client interviews, draft reminders, collect candidate documents and certifications, draft weekly status updates to hiring managers, and chase contractor timesheets before payroll. Your recruiters keep sourcing conversations, candidate assessments, offers, and client relationships. With TeamShift, every message to a candidate or client is drafted for your approval first.

Does this replace our ATS?

No. Your applicant tracking system stays the system of record. TeamShift works from the email, calendar, and CRM tools you connect in Company Brain, where you choose what the team may read. It keeps a live picture of where each candidate, interview, and open timesheet stands, with links back to the source, so recruiters can stop rebuilding status from scattered threads.

How does it handle contractor timesheets and compliance documents?

The People worker tracks which placed contractors owe a timesheet or an expiring document, such as a license, insurance certificate, or signed agreement, and drafts reminders on a schedule you set. Jobs that take days, like waiting for a reply and following up twice, keep running through the wait. You approve the reminders, and anything still missing at your cutoff goes on the Operations task board.

Who does what

The jobs your team takes

Operations lead

  • Sends a morning brief of today's interviews, overdue timesheets, and candidate replies waiting on a recruiter.

Customer success worker

  • Drafts a short weekly status update for each client on open roles: who's in process, interview dates, and what's waiting on the client.

Sales worker

  • Drafts quick replies to inbound job orders from new clients and follow-ups on fee agreements or proposals that have gone quiet, for your OK.

Finance worker

  • Follows up on unpaid placement and contract-hours invoices in QuickBooks and drafts the reminder emails.

People worker

  • Schedules candidate phone screens and client interviews around both calendars, then sends confirmations and day-before reminders once you approve them.
  • Collects candidate paperwork such as W-9s, certifications, and signed agreements, and flags anything missing or close to expiring.
  • Drafts timesheet reminders to placed contractors for your OK before your payroll cutoff, and lists who still hasn't sent one.

Stays with you

What never runs without you

  • Which candidates are submitted, advanced, or rejected, and why
  • Offers, pay rates, bill rates, and fee terms
  • Employment eligibility checks (Form I-9) and background-check decisions
  • Every message sent to a candidate or client, which waits for your approval

Anything that sends, pays, publishes, or deletes waits for your OK, and every step is recorded. How approval works.

FAQ

Questions owners ask

Will it reach out to passive candidates for us?

No. TeamShift doesn't do cold outreach. It handles replies, scheduling, and follow-up with people who are already talking to your agency.

Can it screen applicants?

The People worker can sort incoming applicants against the requirements you give it and summarize why each one fits or doesn't. A recruiter reviews that summary and makes the call.

Does it answer candidate phone calls?

It can answer calls on your line with an AI voice that tells candidates it's an AI assistant, take a message, and answer what your brief covers. It doesn't screen or interview candidates on the call. Missed calls and texts get a drafted reply that you approve.

How is it priced for a small agency?

Creating a workspace is free. Work is billed by usage, quoted with a maximum before it starts, with daily and monthly spend caps and no per-seat fees.

Pricing
