Zapier pricing explained: plans, tasks, and real costs

Here is Zapier pricing as of October 2026. The Free plan costs $0 and includes 100 tasks a month with two-step Zaps. Professional starts at $19.99 a month billed yearly ($29.99 billed monthly) for 750 tasks, and Team starts at $69 a month billed yearly ($103.50 billed monthly) for 2,000 tasks and up to 25 users, per Zapier's pricing page. Enterprise is custom. A task is one successful action step. Triggers, filters, and formatter steps are free, so your bill tracks the actions your Zaps complete. Price rises with the task tier you pick, and that tier is the number to watch.

What counts as a task
Zapier's help center lays out the rules in how task usage is measured. In short, a task is a successful action step.
Counts as a task:
- Every action step that completes successfully, once per run
- Error handler steps that succeed, and steps replayed when you replay a whole Zap
- Action, Call, and Return steps inside Sub-Zaps
Does not count:
- Trigger steps, including polling checks that find nothing new
- Filters and Paths
- Failed or skipped action steps
- Formatter, Delay, Looping, Digest, Storage, and Zapier Manager
- Zapier Tables and Forms steps
Zapier's own example is a Zap that watches Gmail, uploads attachments to Dropbox, and posts to Slack. That uses 2 tasks per run. Ten emails cost 20 tasks, and the Gmail trigger costs nothing.
This is the main way Zapier differs from Make. Make charges a credit for polling checks and for most module actions, while Zapier only charges when an action actually does something. See our Make pricing breakdown for the other side of that comparison.
A few products have their own rates. AI by Zapier steps are priced by the model tier you choose. Code by Zapier uses one or more tasks depending on runtime. Lead Router uses 5 tasks per lead routed, and a Zapier MCP tool call uses 2 tasks.
Hitting your task limit: pay-per-task billing
Zapier emails you when you get close to your task limit and again when you reach it. What happens next depends on one setting.
- Pay-per-task billing off: your Zaps pause until the next usage period starts.
- Pay-per-task billing on: your Zaps keep running and you pay for each extra task. Zapier's help center describes the rate as "1.25x the cost of a task on your plan" and says you have to opt in from the Billing and usage page.
For a small, occasional spike, pay-per-task is cheaper than moving up a tier. If you go over every month, the bigger tier usually wins.
AI features and what they cost
Zapier now sells several AI products, and they are not all billed in tasks.
- Copilot, the assistant that helps you build Zaps, has a daily message limit on Free and is unlimited on paid plans.
- AI by Zapier steps inside Zaps are included on paid plans and billed in tasks by model tier.
- Zapier Agents are billed in "activities," not tasks. The pricing page lists a free tier with 400 activities a month and Agents Pro at $33.33 a month billed annually ($400 a year) for 1,500 activities.
- Zapier Chatbots have a free tier with 2 chatbots. Chatbots Pro is $13.33 a month billed annually ($160 a year) for 5 chatbots.
If you plan to use Agents or Chatbots heavily, budget for them as separate line items next to your Zap plan.
A worked example for a small business
Take the same 10-person home services company from our Make example, running four Zaps. The volumes are an illustration, not a benchmark.

The inbox row assumes the AI step costs one task. Zapier prices AI by Zapier steps by model tier, so a higher tier pushes this number up.
At about 5,900 tasks you are past the 5,000 tier, so you have two options on Professional:
- Move to the 10,000-task tier: $193.50 a month billed monthly, or $129 a month billed yearly.
- Stay at 5,000 and pay for the overage: the 5,000 tier works out to about $0.027 per task billed monthly. At 1.25x, the roughly 900 extra tasks cost about $30, for a total near $164 a month.
The same workloads run about $12 a month on Make's Core plan in our other example, mostly because Make's per-credit price is much lower. Zapier usually costs more at volume. What you get for that is a simpler builder and triggers that cost nothing to run.
Hidden costs beyond the subscription
- Building time. Each Zap needs field mapping, filters, and testing. Multi-step Zaps with paths take longer.
- Upkeep. Apps change their fields, connections expire, and Zaps stop with errors. Someone has to read the Zap history and fix them.
- Tier creep. Volume grows quietly. A busy month can push you into pay-per-task or a higher tier, and AI steps on premium model tiers grow the count faster.
- Judgment. Zaps follow rules. A customer who disputes an invoice or asks something unusual still lands on a person's desk.
If someone spends four hours a month maintaining Zaps and their time is worth $75 an hour, that adds $300 a month to whatever the plan costs.
When Zapier is the right buy
Zapier is a good fit when:
- You want the gentlest learning curve of the major automation tools.
- Your workflows are short and stable, and your volume fits a low tier.
- You rely on polling triggers, since checks cost nothing.
- Someone on your team enjoys building and will own the Zaps.
It is a weaker fit when volume is high and steps are many, or when nobody has time to build and maintain the Zaps.
Alternatives to consider
