Why people look for Otter alternatives
Otter is one of the oldest AI transcription tools and it's still good at live English transcripts. The common reasons people shop around:
- Free plan caps. Otter's Basic plan gives 300 minutes a month and stops each conversation at 30 minutes. Even Pro caps a conversation at 90 minutes.
- Languages. Otter lists six: English, Spanish, French, German, Japanese, and Chinese.
- Monthly price. Pro is $8.33 a month billed annually but $16.99 if you pay monthly.
- The bot and consent. Otter's notetaker joins calls as a participant. A class action, Brewer v. Otter.ai, filed in August 2025, alleges it recorded people who weren't Otter users without their consent and used the recordings to train its models. Jackson Lewis summarized the complaint. Those are allegations, not findings.
- Training on your data. Otter's privacy policy says it trains its AI on de-identified audio and transcripts.

Fathom is the most generous free option. The free plan includes unlimited recordings, transcripts, and instant AI summaries. Premium, at $20 monthly or $16 annually, adds AI action items and a meeting assistant you can ask questions. Team plans start at two users: Team at $19 monthly or $15 annually, Business at $34 or $25 with CRM field sync and coaching. Its pricing page lists a choice of bot or bot-free capture, with bot-free still in beta on Mac.
Better than Otter for: owners who want unlimited free recordings and summaries instead of a monthly minute allowance.
Fireflies
Fireflies offers unlimited transcription on its free plan, with limited summaries and 400 minutes of storage per team. Pro is $18 monthly or $10 annually, with unlimited summaries, 8,000 minutes of storage per seat, and video recording. Business is $29 or $19 with unlimited storage. Enterprise is $39 a seat, annual only, and adds HIPAA compliance and custom retention. Its pricing page says customer data is never used for AI training, and it lists transcription in 100+ languages. Better than Otter for: multilingual teams and anyone who wants a low annual price with no training on their data.
Granola
Granola doesn't send a bot. It records your device's audio on every plan and writes notes alongside your own typed notes. Basic is free with 30 days of history. Business is $14 per user a month with unlimited history and integrations including Slack, Notion, HubSpot, and Zapier. Enterprise is $35 and adds SSO, HIPAA-compliant workspaces, and a workspace-wide opt-out from model training. On the other plans each user can opt out individually.
Better than Otter for: client-facing meetings where a bot joining feels intrusive. Since nobody sees it, you have to announce the recording yourself.
Read AI
Read AI gives you 5 transcripts a month free. Pro is $19.75 monthly or $15 annually with unlimited transcripts. Enterprise is $29.75 or $22.50 with video playback. Enterprise+ is $39.75 or $29.75 with HIPAA compliance and custom data retention, and needs five or more licenses. It lists 20+ languages and a meeting coach.
Better than Otter for: people who want feedback on how their meetings go, not just a transcript.
tl;dv
tl;dv is a bot-based recorder with a free plan, aimed at sales and product teams that want clips and CRM notes. Its public pricing page didn't load for us and third-party sites list conflicting prices, so we haven't quoted one. Check tl;dv's site directly.
Better than Otter for: teams that share short clips of customer calls, if the price works out.
Microsoft Teams with Copilot
If your company runs on Microsoft 365, Copilot Business is an add-on at $18 per user per month paid yearly or $25.20 monthly. It writes Teams meeting recaps and also works in Word, Excel, Outlook, and PowerPoint. Bundles with Business Standard ($23.50) and Business Premium ($32) are listed too, both paid yearly.
Better than Otter for: Microsoft shops that want one vendor and admin console for everything.
Google Meet with Gemini and Zoom
Google Workspace includes Gemini notes in Meet on Business Standard ($14 per user per month) and up, but not on Starter. Zoom's free Workplace Basic plan includes meeting summaries for three hosted meetings a month, and its paid ZoomMate plan includes 2,200 AI credits per user per month. Zoom's page didn't show the ZoomMate price when we checked, and press coverage reported $20 per user per month.
Better than Otter for: teams that meet almost entirely on one platform and already pay for it.
When Otter is still the better choice
Stay with Otter if you meet mostly in English, like its live transcript during the call, and pay annually. At $8.33 a month billed yearly, Pro is cheaper than most competitors' paid tiers, and Business at $19.99 annually removes the meeting limit and raises the per-conversation cap to four hours. Otter's Enterprise plan also offers a HIPAA add-on.
How to switch
- Export what you need. Download transcripts and summaries you want to keep before you cancel.
- Turn off auto-join in the old tool so two bots don't show up in the same call.
- Set the new tool's join rules. Limit it to meetings you host, at least at first.
- Update your recording notice. Change the calendar invite line and your opening script to name the new tool.
- Check retention. Delete old recordings you no longer need from the vendor you're leaving.
