Plumbing missed call calculator

What missed calls cost a plumbing business.

Someone with a burst pipe or a backed-up drain wants the first plumber who picks up. Enter your monthly calls, the share you miss, how often a reached caller books, and your average job ticket to see the revenue at risk each month. The starting numbers are assumptions; replace them with your own.

Calculator

Estimate monthly revenue at risk.

The starting numbers are assumptions, not industry figures. Change any of them to match your business.

Example: $5,600 per month at risk

With 140 calls a month, 25% of them missed, 40% of reached callers booking, an average job ticket of $400, and 35% of missed calls after hours, that is about 35 missed calls (12.3 after hours), 14 lost jobs, and $5,600 in monthly revenue at risk (about $67,200 a year).

Guide

Use this before you automate the work.

Someone with a burst pipe or a backed-up drain wants the first plumber who picks up. Enter your monthly calls, the share you miss, how often a reached caller books, and your average job ticket to see the revenue at risk each month. The starting numbers are assumptions; replace them with your own.

Step 1

Start from your own phone report

The defaults are placeholders, not plumbing industry figures. Pull last month from your phone system and job records and swap in your real numbers.

  • Count every inbound call: main line, ad numbers, and website call buttons.
  • Missed calls include voicemail, calls while you were under a sink, and calls after you closed.
  • Use your booking rate on calls you actually answered.

Step 2

Separate emergencies from routine work

Emergency callers rarely wait for a call back, while a water heater quote can wait a day. If your average ticket differs a lot between the two, run the calculator once for each.

  • Emergency calls: use your after-hours and same-day ticket.
  • Routine calls: use your scheduled-work ticket and booking rate.
  • The after-hours share shows how many missed calls came in while you were closed.

Step 3

Read the result as revenue at risk

The result estimates the work sitting in calls nobody picked up. It is not a promise of recovered revenue: what you win back depends on how fast callers hear from you, your prices, and whether you have room on the calendar.

  • Missed calls = monthly calls × the share of calls you miss.
  • Lost jobs = missed calls × the share of reached callers who book.
  • Revenue at risk = lost jobs × average job ticket.

Questions

Before you hand this off

Are the default numbers plumbing industry averages?

No. They are starting assumptions so the calculator shows a result right away. Replace each one with your own numbers from your phone system and job records.

Is there a benchmark I can compare my missed-call rate to?

Our guide on missed calls by industry cites Invoca platform data that put unanswered calls to home-services businesses at 27% (May 2024). Your own call log is still a better number to use than any benchmark.

Do missed after-hours calls matter if I do not offer emergency service?

Yes. A caller at 9pm may only want a quote for next week. A quick text back that says when you will call keeps that job from going to the next plumber they find.

What does TeamShift do with a missed call?

TeamShift returns missed calls and texts in your approved wording, logs what each caller needs, and sends bookings and quotes to you to approve. Nothing goes out in your name until you say so.
