Start from the numbers you already have

Nothing here needs a spreadsheet. Use last month's call volume, a conservative miss rate, the hours admin really takes, and the value of one job.

  • Calls and leads that came in last month, from the phone, ads, forms, and the website.
  • The share you miss or answer late. Evenings, lunch, and the busy stretches count.
  • Hours a week the admin work takes, whoever is doing it. The scanner adds a payroll load of 25 to 40% on top of what you pay per hour.

Is the loaded cost a salary estimate?

It is your own admin hours for a year at the hourly rate you type, plus a payroll load of 25 to 40%. The rate starts at the 2024 BLS median for receptionists ($37,230 a year, $17.90 an hour). Replace it with what you actually pay.

Where do the missed-call figures come from?
